Overview

The President of Europe Office is looking for a Business Assistant, reporting to the President’s Executive Assistant, to perform general administrative duties, support the day-to-day department operations in various areas such as but not limited to travel arrangements, expense reporting, mail sorting, but also to order supplies, answer the phone, maintain department records, and maintain business continuity and back-up when the Executive Business Assistant is out of the office. The ideal candidate is highly motivated, organized, dedicated, and act with discretion at all times.

Role

In this position, you will:

• Organize domestic and international multi-destinations travels and process visa requests as necessary

• Be responsible for keeping abreast of all COVID-19 requirements for travel to comply with the governmental restrictions across Europe

• Help maintain the President’s diary up to date with all travel details

• Review and submit credit card transactions via expense reports

• Manage the database for the European President Office 

• Help organize videoconference/telepresence and internal/external meetings

• Handle incoming and outgoing mail

• Draft and/or get correspondence, presentations as well as any other related supports or documents prepared for use

• Order office supplies, business cards, products, software, and application licenses

• May research and collect information on special topics as assigned

• Act with a high level of discretion at all times, given the exposure to highly sensitive and confidential information

• Be Proficient in English, both written and spoken

• Higher education degree

• Be able to work independently, multitask, set priorities, and have a sharp eye for details

• Be able to work in and adapt to a fast-paced changing environment

• Always look for potential solutions to solve problems

• Be confident and assertive

• MS Office Suite

• Experience with Oracle desired but not compulsory (expense reporting)

• Previous experience in a similar position preferred
